Vice President of Finance

Position Summary: The Vice President of Finance is responsible for the financial strategy, management, and sustainability of the Strategic Air Command & Aerospace Museum. This role oversees all financial operations, including budgeting, forecasting, financial reporting, risk management, and compliance, to ensure the long-term financial health of the Museum. The VP of Finance will work closely with the CEO and Board of Directors to develop financial plans and strategies that support the Museum’s mission and drives fiscal growth. This position reports to the CEO and is an important member of the leadership team.

Duties & Responsibilities:

60% Financial Strategy & Management

  • Develop and oversee the Museum’s financial strategy to ensure long-term sustainability and growth.
  • Lead the preparation and management of the annual budget, financial forecasting, and cash flow projections.
  • Ensure compliance with all financial regulations, nonprofit accounting standards, and reporting requirements.
  • Conduct financial risk assessments and implement strategies for financial risk mitigation.
  • Provide financial analysis and recommendations to the CEO and Board of Directors to support strategic decision-making.
  • Oversee the investment portfolio and financial reserves of the Museum.

25% Financial Operations & Compliance

  • Supervise all financial activities, including accounting, payroll, tax filings, and audits.
  • Maintain accurate financial records and ensure timely reporting of financial performance.
  • Develop and implement internal controls and financial policies to safeguard assets and prevent fraud.
  • Oversee grant financial management, ensuring compliance with grant requirements and reporting.
  • Ensure transparency and accuracy in financial reporting to stakeholders and regulatory agencies.
  • Work closely with external auditors and tax professionals during annual audits and tax filings.

15% Nonprofit Management & Collaboration

  • Thorough knowledge of budgeting and accounting practices, process and procedures of nonprofit organizations.
  • Audit bi-weekly payroll GL entries and payroll processing reports for accuracy and reporting compliance

Collaborate with department heads to align financial planning with operational goals.

  • Present financial reports to the Board of Directors, ensuring clear and concise communication of financial performance.
  • Support fundraising initiatives by providing financial insights and strategies for donor relations.
  • Represent the Museum in financial matters with external partners, donors, and grant agencies.

Qualifications:

  • Bachelor’s degree in finance, accounting, business administration, or a related field required.
  • Certified Public Accountant (CPA) or Chartered Financial Analyst (CFA) designation preferred.
  • Minimum of 5-8 years of progressive experience in financial management, preferably in a nonprofit or museum setting.
  • Strong knowledge of nonprofit financial regulations and compliance requirements.
  • Experience in budget development, financial forecasting, and strategic financial planning.
  • Proficiency with advanced financial software systems; strong skills in balance sheet reconciliation and general ledger accounting.
  • Excellent leadership, communication, and organizational skills to communicate clear goals and facilitate problem solving.
  • Ability to work collaboratively with executive leadership, board members, and external stakeholders.

Receptionist

Position Summary:
The Receptionist is responsible for the day-to-day management of the administration reception desk for the Strategic Air Command & Aerospace Museum.  This role plays a vital part in creating a positive impression for our visitors and providing essential support to all departments. The ideal candidate will possess strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently. Bilingual abilities are a plus, as well as experience with group sales and administrative support. This position offers an opportunity to work in a dynamic environment where organizational skills, reliability, and attention to detail are highly valued.

Duties & Responsibilities:

80% Reception duties

  • Provide excellent customer service to welcome guests and visitors to our Museum.
  • Acknowledge and welcome on-site visitors, determine nature of the visit and announce and direct to appropriate office or department.
  • Operate a multi-line phone system to answer incoming telephone calls, determine the purpose of the calls and direct them to appropriate personnel.
  • Perform data entry, filing and maintain accurate records using computer literacy skills.
  • Receive and deliver messages or transfer calls to voice mail when personnel are unavailable for calls or customer visits.
  • Handle and sort daily incoming and outgoing mail. Distribute to appropriate person or department.
  • Respond to requests for information regarding tours, events, memberships, camps and other Museum events.
  • Maintain a clean and organized front desk area to promote a welcoming environment.

20% Team support and Collaboration

  • Update and digitize records and paper files.
  • Collaborate with internal departments to promote exhibits, educational programs, membership initiatives, and events.
  • Support Events & Rentals Manager to follow up on inquiries and emails requesting rental details and information
  • Develop guidelines and track donation requests and contributions.
  • Some evening or weekend hours may be needed to support events.

Qualifications

  • High School diploma or equivalent GED
  • Minimum of 2-5 years of experience in front desk, reception preferably in a professional office setting.
  • Pay attention to details to provide excellent customer service
  • 1-2 years’ experience with multi-line phone systems and computers.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to manage multiple projects and meet deadlines in a fast-paced environment.
  • Passion for the mission of the Strategic Air Command & Aerospace Museum and our visitors.
  • This role is ideal for candidates who are detail-oriented, personable, and capable of managing multiple responsibilities with professionalism.

Physical Qualifications:

  • Sit for extended periods of time to work at a computer/desktop answering phone calls
  • Walking to navigate different areas of the Museum to assist visitors and ensure a positive experience
  • Bending, stooping, and reaching as needed
  • Perform repetitive tasks, including administrative work and using computer software programs
  • Push or pull equipment
  • Lift and carry items up to 20 pounds, including materials, supplies and tables and chairs as needed to set up events
